How to Import and Export Rules and Alerts in Outlook

Outlook “Rules and Alerts” can be used to organize incoming email. These functions allow users to set custom actions that will be performed automatically on incoming messages.  Outlook can redirect messages according the criteria set in these custom actions.  Messages can be redirected to other folders based on a specific word or phrase.  Outlook Rules and Alerts are flexible and can be tailored to fit a wide variety of environments.

Rules and Alerts are stored as part of the Outlook profile. If that profile is removed or becomes unusable, the Rules and Alerts associated with it can be lost. If users rely heavily upon their custom rules, a backup of the Rules and Alerts is recommended. Rules and Alerts can be backed up by exporting them to a "Rules wizard (.rwz)" file on the local hard drive or network shared drive.

Insight Connector 3.x stores the Rules and Alerts in the Local Cache along with the profile information. Insight Connector 4.x stores the Rules and Alerts in a Microsoft PST file along with Outlook profile information and all message data.

Important Information: Rules and Alerts will not transfer during an upgrade from Insight Connector 3.x to 4.x. Rules and Alerts are stored locally on your computer. They are not uploaded to the server.

Exporting Rules from Outlook

1. Open Outlook.

2. Click on "Tools" > "Rules and Alerts..." to open the Rules and Alerts dialog.

3. Under the "E-mail Rules" tab, click on "Options".

4. Under the "Import and export" area, click on the "Export Rules..." button.

5. Type a new name for the rules or keep the default.

6. Click "Save".

7. Click on "OK" to remove all dialog windows.

Outlook rules have been successfully exported.

Note:  When upgrading Insight Connector 3.x to version 4, a backup of custom rules is recommended.  These rules can be imported back into Outlook after the Insight Connector upgrade process is complete.

Importing Rules into Outlook

1. Open Outlook.

2. Click on "Tools" > "Rules and Alerts..." to open the rules and alerts dialog.
